Listening Before Building: How We're Incorporating Real Accountant Feedback into Software Design

Accounting software built based on real accountants' feedback

In the world of accounting software, there's no shortage of options. Yet, as we spoke with small accounting practices across the country, we kept hearing the same refrain: "These tools weren't built for the way we actually work." That's why we created LedgerWorks Pro — not as another generic solution, but as accounting software truly tailored to the unique needs of small accounting firms.

The Gap in the Market

Most accounting software falls into one of two categories: either simplified tools designed for small business owners handling their own books, or enterprise-level systems with complicated features that small accounting practices rarely need. What's missing is a solution specifically designed for professional accountants who run small practices — professionals who need robust capabilities without the enterprise complexity and cost.

This gap isn't just about features. It's about workflow, integration, and the day-to-day realities of running a small accounting practice. It's about understanding that an accountant managing multiple clients has fundamentally different needs than a business owner managing a single company's finances.

Enter the Insider Community

Rather than guessing what accountants need or relying solely on our own industry experience, we decided to take a different approach: build our software in continuous conversation with the very professionals who would be using it. That's why we created the LedgerWorks Pro Insider Community.

The Insider Community is a diverse group of accountants from small practices across different specialties, regions, and client focuses. These professionals have agreed to share their pain points, workflows, and candid feedback throughout our development process.

How the Process Works

Our collaboration with the Insider Community isn't a one-time focus group or occasional survey. It's an ongoing conversation that shapes every aspect of our product development:

  1. Deep-dive interviews: We begin with in-depth conversations to understand each accountant's practice, client base, current tools, and biggest challenges.

  2. Workflow shadowing: Where possible, we observe how accountants actually work day-to-day, noting the inefficiencies and frustrations in their current processes.

  3. Problem prioritization: We collectively identify which pain points have the biggest impact on productivity and client service.

  4. Solution prototyping: We create working prototypes and wireframes of potential solutions and share them with the community for feedback.

  5. Iterative testing: As features take shape, Insiders get early access to test them with real client data in real working conditions.

  6. Continuous refinement: Based on usage data and direct feedback, we continuously refine and improve features before wider release.

What We've Learned So Far

This approach has already led to several insights that have fundamentally shaped LedgerWorks Pro:

Integration That Actually Works

One consistent frustration we heard was about "integrated" systems that don't truly integrate. Many accountants were cobbling together 5-7 different tools, manually transferring data between them. In response, we've built LedgerWorks Pro with true integration at its core — not just with tax software, but with client communication tools and document management.

Client-Centric Organization

Traditional accounting software organizes work around transactions or accounts. But our Insiders showed us that they organize their days around clients. LedgerWorks Pro now features a client-centric interface that allows accountants to see everything related to a particular client in one place — recent communications, outstanding tasks, documents pending review, upcoming deadlines, and more.

Intelligent Automation That Knows When to Step Aside

Our Insiders were clear: automation is valuable, but only when it knows its limits. They were tired of fighting with "smart" systems that made incorrect assumptions. We've designed our automation to be transparent, showing its work and allowing accountants to easily review and override any automated decisions.

Practice Management Integration in Development

We're developing comprehensive practice management capabilities that will be integrated directly within LedgerWorks Pro.

While still in development, our practice management module will include robust client management features and billing capabilities. We're particularly excited about our upcoming integrated client communication hub, which will centralize all client emails and messages in one place, eliminating the need to switch between multiple systems to track client interactions.

By bringing these functions into the same ecosystem as the accounting work itself, we're addressing what many of our Insiders describe as a significant workflow disruption: the constant context-switching between accounting tasks and practice management.

The Road Ahead - Building Accounting Software for Accountants

As we continue developing LedgerWorks Pro, the Insider Community remains central to our process. Upcoming features will continue to be shaped by their input, and we're expanding the community to ensure we represent the full diversity of small accounting practices.

We believe this collaborative approach isn't just creating better software — it's creating a more sustainable relationship between technology providers and the accounting profession. By truly listening before building, we're ensuring that LedgerWorks Pro addresses real needs rather than presumed ones.

For accountants who have felt ignored by software developers, our message is simple: we hear you, and we're building something specifically for you. Because accounting software should work the way accountants do, not the other way around.
